Guidelines for Authors Preparing Manuscript Files in TeX

The following guidelines are intended for manuscripts created in TeX that are being submitted to the MIT Press for editing and composition. To achieve the schedule, quality, and price that are optimal for your project, please follow these instructions carefully. Once your book has been accepted for publication, your manuscript editor will be your main contact for the remainder of the publishing process and will provide you with a schedule so you will know when you will need to be available for reviewing the editing, reading proof, and creating your index. It is essential that you meet any deadlines we provide you. If you will not be available at the scheduled times, please notify your manuscript editor as soon as you receive the schedule.

Options for TeX Manuscripts:

1. Converting TeX to Word: this can be done by one of our typesetters, who will ensure an accurate conversion of all elements. This is the preferred option as the resulting XML files can be used for creating

e-books for a wide variety of e-readers and other digital repurposing. This also allows for on-screen rather than hard-copy editing.

2. Leaving your files in TeX: if conversion is not possible or wanted, we can leave the TeX document in TeX and print it as a PDF. This limits the usability of the files for creating e-books and other future repurposing. It also requires editing on hard copy and leaves it to the typesetter to enter the edits.

The Editorial Process and You:

It is your responsibility to prepare the manuscript according to these guidelines. We reserve the right to return materials to the author if they are not prepared correctly. Editing cannot begin until the complete manuscript and figures have been received by the editor.


When your manuscript has been turned over to the editorial department, it is assigned to a manuscript editor. This is the person to whom you should address all questions pertaining to the content of the manuscript. You are also responsible for reviewing the edited manuscript, answering all queries, and ensuring that the text is accurate and ready for the typesetter.

If your manuscript files have been converted to Word, your manuscript editor will return the edited electronic files to you. If your manuscript files remain in TeX, your editor will return the edited manuscript

to you as hard copy. In either case, your manuscript editor will also send a style sheet and guidelines for reviewing the editing and responding to queries. We strongly encourage our authors and contributors to make changes at this stage only; once the text is typeset, we must limit corrections to typos and other egregious errors. Refer to the schedule provided by your manuscript editor for the deadline for returning the manuscript to the Press. The bound book date for your book is dependent on this and all other deadlines being met.


It is your responsibility to proofread your page proofs. Our publication schedule allows approximately three weeks for proofreading. Your manuscript editor will provide you with instructions; the date by which the proofs must be returned will be in the schedule provided at the beginning of the process. If you have any questions that are not directly addressed here, consult The Chicago Manual of Style, 16th edition. The Press does not employ proofreaders.


Unless other arrangements have been made and stated explicitly in your contract, you will be responsible for creating an index for your book. Indexing instructions are available on our website. The index manuscript is due about 10 days after you return the page proofs to the Press—the due date is specified in the schedule provided by your manuscript editor.

If the Press hires a freelance indexer to create your index, you will be permitted to correct any typographical errors or delete any unnecessary entries; you will not be able to make or request any other changes.


It is also your responsibility to obtain permissions and to submit these with the final manuscript. You must obtain permission for all material owned by others; this includes illustrations, tables, prose passages exceeding 300 words, and any poems or song lyrics, regardless of length.
