GUIDELINES FOR DELIVERY OF SUBMISSIONS

Please adhere to these simple guidelines for final submission of your entry. If your entry is improperly submitted, it will be returned to you for reformatting. If you have any questions concerning these guidelines or the submission process, please contact us at arbib@cs.ucsd.edu.


DELIVERY GUIDELINES

Authors will have two deadlines agreed upon with the Editor: the deadline for the submission of the preliminary draft and the deadline for the submission of the final draft. All the instructions below apply to both drafts.


Provisional Drafts
Provisional drafts should meet the formatting guidelines addressed elsewhere. They will be delivered via email to Margy Avery (mavery@mit.edu). Please specify that the file is a draft.

Delivered files should be given a name containing the primary author's surname, followed by an underscore (_), followed by the primary author's first initial. The file should have an extension indicating what the file format is: .doc for a MS-WORD file, .tex for a LATEX file. If there are supporting files in different formats, you should add "_fig1" to the name and a differing extension to indicate the supporting file's format.

For example, if Ken Overton is submitting his entry in LATEX with 2 figures in EPS format, the files he submits via FTP are named:

overton_k.tex
overton_k_fig1.eps
overton_k_fig2.eps

If there are already files with the name you would use, add a numeral after the author's init (e.g., "overton_k2.tex").

You must also mail 2 hard copies to:

Final Drafts
On or before the deadline, please send:
 
  • Two double-spaced, single-sided, single-columned hard copies of your article, including the figures, plus checklist, Letter of Agreement (can be found at http://mitpress.mit.edu/authors), and any necessary permissions to Prue Arbib at: Prue Arbib

  • A Word or Tex file to Michael Arbib, arbib@pollux.usc.edu, as an email attachment. This file will be used by the typesetters in assembling, as quickly and cheaply as possible, the master file for the entire book.

  • A PDF file to Margy Avery, mavery@MIT.EDU, as an email attachment. Please specify that it is a final draft, and make sure that it contains figures and bibiography as well as text.

If you are working in LATEX, you will

(i) Prepare two hardcopies of the final draft, ensuring that the printout matches the Formatting Guidelines.

(ii) Prepare a de-TeXed version of your submission (i.e stripped of control characters other than paragraph markers.) This should be sent as an electronic file either by email (to arbib@pollux.usc.edu) or by normal mail (on a 3 1/2" diskette.) Please ensure that the electronic and hard copy versions are identical (e.g., ensure that your references are correctly formatted, and any mnemonic figure names are replaced with full form, proper references.)

Completed copies of all necessary permissions to reprint material. Ensure that all CAMERA READY copy of all figures accompany your final draft.
